Terms & Conditions
Once you have decided to book a 4th Dimension course you should fill in our booking form. On this form there will be a section that you should sign acknowledging that you have read, understood and agree to abide by the terms and conditions below. Your booking form should then be returned with your deposit, for which we will invoice you. This constitutes a legally binding contract.
We will then confirm your booking by post or email.
To secure your booking the group leader must complete and sign the booking form and send it with a deposit as follows:
Day courses: £20 + VAT per student
Residentials: £50 + VAT per student
You can increase the number of participants after booking by sending the appropriate additional deposit.

We appreciate that some schools may not know their numbers at the point of booking. In such cases you can pay a deposit per group per day.
Residentials: £350 + VAT per day
Day courses: £200 + VAT
In this case final numbers must be confirmed 3 months before the course at which time deposits per person will be adjusted and invoiced for as above. These can be paid either by cheque to 4th Dimension Ltd or BACS. Please contact us for bank details.
Deposits are not refundable under any circumstances and we strongly advise that you arrange your own school journey, travel, and injury insurance to cover you from the point of booking. We cannot be liable for cancellations from any member/s of your group.
The final balance of payment must be settled no later than 2 months before your visit.
If final payments are not received in time, this would be in breach of the contract between us and entitle 4th Dimension to treat the booking as cancelled for an individual/s or the whole group.
In this case the contract will remain valid until you receive written notification and a final cancellation invoice from us.
Additional course members can be added if we receive a request in writing and subject to availability. Additional adults over and above the free place allowance (1 per activity group) may join the course at a supplementary charge, subject to availability of accommodation.
We strongly advise that you arrange your own school journey, travel, and injury insurance to cover you from the point of booking
Our 10 million Public Liability Insurance covers you in the case of our negligence but does not cover any of the circumstances above.
4th Dimension is not responsible for loss or damage to personal possessions including items left in tents, buildings, vehicles or lost/damaged during activities. You are advised not to bring valuable items with you.
In accordance with “The Package Travel, Package Holidays and Package Tours Regulations 1992″ all passengers booking with 4th Dimension Ltd are fully protected for the initial deposit and subsequently the balance of all monies paid to us, including repatriation if required, arising from cancellation or curtailment of your travel arrangements due to the insolvency of 4th Dimension Ltd.
There is no requirement for Financial Protection of day trips, and none is provided. This insurance is only valid for packages booked that DO NOT include flights.
Consumer aware: Your booking is insured by IPP Ltd and its panel of insurers. – This insurance is only valid for passengers who book and pay directly with/to 4th Dimension Ltd. This Insurance has been arranged by International Passenger Protection Limited and underwritten by Insurers who are members of the Association of British Insurers & Lloyds Syndicates.
If a paying member cancels more than 2 months before the visit monies paid to 4th Dimension by them may be transferred to a substitute providing the subsequent payment criteria are met. After the two month cut off date prior to your visit there are no refunds.
You are advised to check with your School Journey Insurance whether the reason for a withdrawal by a person/s from the course is covered by your policy.
Once you have booked you should let us know your preferred activities (we can help you decide these) and we will submit a sample timetable. This may be subject to availability. We reserve the right to alter your programme due to environmental or other factors. We will try to reschedule cancelled activities or replace them with others but these will be minor changes. We do not offer a refund in this case.
In the event of an occurrence that we could not foresee or avoid (Force Majeure such as adverse weather conditions, real or potential terrorist activity, fire, disease, industrial factors, real or threatened war, act of God or similar) we do not accept liability if we are unable to fulfil our obligations or your group suffers loss or damage in any way.
We will only accept responsibility for any personal illness, injury or death which results in the negligent (as the word is understood in English Law) acts or omissions of any servant or agent, or supplier working on our behalf in the provision of services or facilities to you within the scope of their employment. We can only be liable for the provision of special requests where we have confirmed their availability in advance or writing,
We cannot be held responsible for the failure of any computer or communication equipment or programme for any reason.
Please let us know immediately if there is any problem with your visit. Contact your Course Director as soon as practically possible so we can resolve the issue there and then.
In the very unlikely event that we cannot do this immediately, please contact us in writing and in no case later than 28 days from the end of your course.
All personal property is your responsibility unless it becomes lost or damaged due to our negligence.
Communication with Participants
It is vital that every aspect of your course is explained to parents/guardians/carers of the participants who must inform us of any special dietary or medical information relating to every participant. The same applies to adults. Medical forms must be accessible to us at all times. If we are required to administer medication to a minor, written permission must be provided.
The Group Leader must ensure all members of their party are physically fit for the course. With advanced notice we can often accommodate those with injuries or conditions that may preclude certain activities. Health issues should be monitored throughout the course.
Contact details supplied including telephone numbers, postal and email addresses will be used only for our administration and communication purposes. All related paperwork will be kept safely and discretely.
Adults who accompany the group agree to act in loco parentis at all times. Pastoral, health and disciplinary matters must be overseen by the adult staff accompanying the group. Although 4th Dimension will assist and liaise in these matters they are not our ultimate responsibility. Adult staff must ensure that:
- No alcohol is consumed by under 18’s
- There is no smoking on transport, in accommodation or in any smoke free areas.
- Seat belts must be worn in all vehicles
- Behaviour is appropriate throughout and conforms to the reasonable requirements made by 4th Dimension. Our Course Director will highlight any potential problems to visiting leaders and we reserve the right to terminate the course for anyone who is unable to comply with our requirements.
Please ensure all participants are aware of the above.
For inclusion on our website or in our news letters, we sometimes take photos or videos. If a participant would prefer NOT to be part of this, please inform us in writing and make sure the photographer is aware of this restriction.
